CASE STUDY

THE BRIEF

Having successfully partnered with Event Tech Live (ETL) for the last 10 years, First Sight Media were back at the ExCel in London to help with their 10th show, as well as their inaugural “sister show”, Event Sustainability Live (ESL). The addition of ESL meant double the simultaneous speaker sessions, stages, and content to be streamed online. The event organisers knew that by bringing in an experienced production partner like First Sight Media, this challenge would be easily overcome, and all the world-class content from the 2 events would be harnessed well beyond the show days.


CHALLENGE 1

Capturing diverse content across multiple stages: With seven stages simultaneously hosting panel discussions, presentations, and tech demonstrations, the challenge was to ensure comprehensive coverage of each session while maintaining the uniqueness of each stage, since the range of content was key to the success and value of the event.

THE SOLUTION

The stages: All seven theatres were filmed simultaneously with panel discussions and presentations rolling out throughout the two-day event. With a different physical space, and type of content unique to each individual stage, a different solution was delivered for each of them - the idea being that the bespoke equipment used would effectively showcase the different activities happening on stage. Here are just some of examples of the set ups constructed;

The Main Stage: Three operated cameras were used to guarantee the entirety of the large space was captured. This solution was chosen because of the complex nature of the sessions on this particular stage. There were many multi-person panel discussions which meant full coverage and a variety of angles were needed to capture all the excitement taking place.

The InEvent Theatre and the Ingo Theatre: These stages had a mixture of panel discussions and presentations. With this in mind, two cameras were used to capture all the action and mix between the footage and slides, offering a rich viewing experience. A variation of angles was also used during the Q&A session at this theatre. From close-ups to wide shots, shots cut to the presenter, then back to the audience asking questions, creating an inclusive feel to the discussions.

The Kaltura Theatre: This was a stage that showcased tech demonstrations. A single camera with a Picture-in-Picture solution was used to show these demos up close along with slideshow content. Presenters, exhibited software, webpages, and specific content central to their presentations, emphasising the importance of capturing it in this manner to offer online viewers an immersive experience.

CHALLENGE 2

Engaging the virtual audience between speaker sessions: Virtual attendees needed additional content to help bridge the gap of transitions between sessions to prevent disengagement during intervals.

THE SOLUTION

Bonus stages: The main stages at ETL and ESL were streamed live, but there were 15-minute intervals between the speaker sessions taking place on site. To ensure a constant flow of content for those watching at home, two pop up studios were installed on the show floor, one for each show. From there, interviews from industry leaders were seamlessly streamed live via the event app (hosted by Entergy) and included speakers and panellists from the events main stage to elaborate more on the talks they had just delivered, offering the audience valuable additional insight. This exclusive bonus content kept the momentum up for the virtual audience – and made sure to avoid “Zoom fatigue.”

CHALLENGE 3

Too much content for on-site attendees to access in one day: With so many sessions happening across multiple stages, on-site attendees faced difficulty in choosing which talks to attend. A solution was needed to facilitate easy access to all content.

THE SOLUTION

No content wasted: To solve the issue of an overwhelming amount content being delivered, all the sessions captured across the stages were swiftly edited down into videos ready for on-demand viewing, ensuring the events inclusivity. Click on the links below to access some of the content:

CHALLENGE 4

Attracting more attendees: The event organisers want to make each year bigger and better than the last and this year was no different. With a focus on amplifying the event, a solution was needed to heighten the awareness and reach as wide an audience as possible,

THE SOLUTION

Highlights videos: To maximise the exposure of the event, as well as make the most out of their content further, multiple highlights videos were churned out for both ETL and ESL, ready to post on their socials the same day. Two highly skilled camera operators captured b-roll throughout the two-day conference to make these a reality. Not only did these videos showcase the event's diverse and innovative content but also acted as a powerful promotional tool for future attendees, offering a glimpse into the immersive experience available to those in attendance.
